Overview

What is quality audit and corrective action software?

Quality audit and corrective action software runs internal and external quality audits as structured digital workflows. Auditors record findings and evidence against each audit question, every nonconformity is linked to a corrective action with an owner and a deadline, closures are approved on the record, and reports are generated from live data instead of assembled by hand.

SparkFlow works as quality audit software for the whole loop: the quality manager sets up the audit, auditors record findings on site or in the office, action owners fix what was found, and leadership reads the result on a dashboard. Because quality sits on the same platform as your inspections, incidents, permits and risk records, a finding in one area can link to an action in another. It is built in Dubai for UAE and wider GCC teams.

Audit vs Inspection

Quality audit, HSE audit and inspection: what is the difference?

The three are often treated as one activity, but they answer different questions. Knowing which one you are running decides what you record and how you follow it up.

Quality audit compared with HSE audit and inspection
Comparison point Quality audit HSE audit Inspection
Question it answers Is our quality system working as intended? Is our HSE system working as intended? Is this place, asset or output acceptable right now?
Measured against ISO 9001, customer requirements, your procedures ISO 45001, ISO 14001, legal requirements A checklist of observable items
Looks at Processes, records and evidence over a period Processes, records and evidence over a period Conditions at a point in time
Typically done by Competent, impartial internal or external auditors Competent, impartial internal or external auditors Supervisors, inspectors, team leads
Output Nonconformities, observations, opportunities for improvement, report Nonconformities, observations, opportunities for improvement, report Pass or fail results and actions

Inspection results are one of the things an auditor samples. SparkFlow runs all three on the same records, so findings from any of them close through the same action process. For the HSE side, see HSE audit software and safety inspection software.

Workflow

From finding to verified closure: the corrective action lifecycle

A quality issue is not resolved when it is written down. Each stage below is tracked, so a finding cannot fall between the person who raises it and the person who fixes it.

FindRecord the finding from an audit or inspection, with evidence.
CorrectDeal with the nonconformity itself, such as rework or segregation.
Find the causeRecord why it happened, using fields on your own form.
ActRaise a corrective or preventive action with an owner and a deadline.
ApproveRoute the closure to a named approver for sign-off.
VerifyConfirm it worked and close it with a record linked to the finding.
Why verification matters: ISO 9001 clause 10.2 expects an organisation to review the effectiveness of corrective action, not just complete it. When the check is a step on the record, effectiveness evidence is a by-product of the work rather than a scramble before the certification audit.

Why Go Digital

Why spreadsheets and email let quality down

Most quality teams start with spreadsheets and shared folders. They work until the first time someone asks whether last year's findings were closed.

✕ With spreadsheets and email

  • Audit notes are written on paper and typed up days later.
  • Findings sit in a tracker that is separate from the evidence.
  • Actions are chased by email, so overdue items go unseen.
  • Nobody can quickly say which findings are still open.
  • The audit report is assembled by hand from several files.

✓ With SparkFlow

  • Findings and evidence recorded as the audit happens.
  • Each finding stays linked to its evidence, action and closure.
  • Owners and deadlines are on the record, and overdue items show on the dashboard.
  • Open and closed findings from earlier audits are found in seconds.
  • Reports generated from the live records.
Supplier Quality

Supplier quality audits: record, follow up and close

A supplier audit, also called a second-party audit, is carried out by a customer on its supplier or by your team on the contractors and vendors you rely on. Poor supplier quality becomes your nonconformity, so the findings need the same follow-through as an internal audit.

Audit on site

Use a configurable supplier audit form on a phone or tablet. Record findings and photo evidence at the supplier's premises.

Grade the findings

Use your own categories, such as major or minor nonconformity and observation, so the response matches the seriousness.

Track the follow-up

Raise an action for each finding with a named owner, a deadline and an approval, and keep the evidence on the same record.

Sample supplier audit questions

Does the supplier hold relevant certifications, and are they current?Look for: certificates, scope, expiry dates
Are incoming materials inspected before use?Look for: inspection records, rejection logs
Are nonconforming products identified and segregated?Look for: tags, quarantine area, dispositions
Are corrective actions closed on time and checked for effectiveness?Look for: action register, verification notes
Is equipment calibrated and are records kept?Look for: calibration register, due dates
Are subcontractors the supplier uses controlled?Look for: subcontractor approvals, evaluations

SparkFlow actions are assigned to named owners within your own hierarchy. If you want supplier contacts to respond to findings directly, ask in a demo how you would like to set that up. Whether a supplier is audited by you or audits you, the findings follow the same record. For the HSE side of contractor audits, see HSE audit software.

Definitions

Correction, corrective action and preventive action

The three terms are used loosely, and mixing them up is a common reason findings come back.

Correction, corrective action and preventive action compared
Term What it deals with Example
Correction The nonconformity itself, to contain it now. Move rejected goods out of accepted stock and re-inspect the batch.
Corrective action The cause, so the nonconformity does not recur. Add a labelled quarantine area and update the receiving procedure.
Preventive action A potential problem before it happens. Apply the same quarantine rule at the other warehouses before an audit finds it.

ISO 9001:2015 deals with prevention through risk-based thinking rather than a separate preventive action clause, but many teams still track preventive actions. A good response to a finding usually needs a correction and a corrective action, and SparkFlow lets you record each against the same finding.

Audit Findings

Nonconformities, observations and opportunities for improvement

Findings are usually graded so the response matches the seriousness. These are the categories most organisations use. Definitions vary, so follow your own procedure or your certification body.

Common quality audit finding categories
Finding What it usually means Example
Major nonconformity A requirement is missing or has failed in a way that puts the effectiveness of the system in doubt. No process exists to handle customer complaints.
Minor nonconformity An isolated lapse against a requirement that does not undermine the system as a whole. One calibration record is out of date.
Observation Meets the requirement today but could become a nonconformity if left alone. Supplier evaluations are done but never reviewed.
Opportunity for improvement A suggestion beyond the requirement that would make the system work better. Merge two overlapping inspection forms.

Forms in SparkFlow are configurable, so the categories on your audit form can follow your own procedure. Whatever the category, every finding that needs action is linked to a corrective action with an owner and a deadline.

Traceability

One finding, one complete trail

When an auditor asks how a nonconformity was handled, the answer should be a single record, not a hunt through email, spreadsheets and photo folders.

  • Start from the audit question so every finding is tied to a requirement.
  • Keep evidence on the finding instead of in a separate folder.
  • Show who owned the action and when it was due.
  • Prove closure with the approval recorded on the same record.

ISO 9001

Where an ISO 9001 audit looks, and where the evidence sits

Auditors sample across the whole quality system. This table shows the clauses most audits spend time on, what is usually checked and where matching records can live in SparkFlow.

ISO 9001:2015 clauses, what auditors check and where evidence sits in SparkFlow
Clause What an auditor checks Evidence usually sampled In SparkFlow
7.2 People are competent for their roles. Training records, competence evidence Training workflows
8.7 Nonconforming outputs are identified and controlled. Nonconformance records, dispositions Inspection and audit findings with actions
9.1 Performance is monitored, measured and evaluated. Inspection results, trends, KPIs Live dashboards
9.2 Internal audits are planned, impartial, reported and followed up. Audit programme, reports, findings Audit workflows and reports
9.3 Management reviews audit results and performance. Review inputs and outputs Dashboards and reports as review input
10.2 Nonconformities are corrected, causes addressed and effectiveness reviewed. Corrective actions, root cause, closure Risk & CAPA with approval

Clause numbers refer to ISO 9001:2015. Check them against your own copy of the standard and your certification body's guidance, because audit scope and sampling differ between organisations. Software does not pass an audit for you. It gives you organised, dated evidence.

Sample Audit Questions

Quality audit questions to start from

Adapt these to your processes and the standard you are audited against. In SparkFlow each question becomes a line on a configurable audit form, and any "no" or "partly" becomes a finding.

Are quality objectives set and monitored?Look for: objectives, review records
Are supplier evaluations done before approval?Look for: evaluation forms, approved supplier list
Is incoming material inspected against requirements?Look for: inspection records, rejection logs
Are nonconforming outputs identified and segregated?Look for: tags, quarantine area, disposition records
Is monitoring and measuring equipment calibrated?Look for: calibration register, due dates
Are customer complaints recorded and answered?Look for: complaint log, response times
Do corrective actions address root causes?Look for: cause analysis on the action record
Is the effectiveness of actions checked?Look for: verification notes, repeat findings
Are staff trained and competent for their tasks?Look for: training records, assessments
Is audit and review information reported to management?Look for: management review minutes

Follow-Through

Why quality findings keep coming back

Repeat findings are rarely caused by careless people. They come from gaps in follow-through. Here are the six most common, and how one linked record closes each gap.

Fixing the symptom

The faulty batch is reworked but the process that allowed it is left alone.

In SparkFlow: raise an action against the cause, linked to the original finding.

No clear owner

An action assigned to "the team" belongs to nobody.

In SparkFlow: every action has a named owner on the record.

Deadlines slip quietly

Dates agreed in a meeting live in an email thread.

In SparkFlow: deadlines and status sit on the record, and overdue items show on the dashboard.

Closing without checking

The action is marked done but nobody confirms it worked.

In SparkFlow: closure routes through an approval path for sign-off.

Evidence scattered

The finding is in one file, the photos in another, the approval in an inbox.

In SparkFlow: finding, evidence, action and approval stay linked.

No view across audits

The same issue appears at three sites and nobody sees the pattern.

In SparkFlow: dashboards show findings by type and site.

Dashboards

See findings and actions across every site

A finding is only useful if someone follows it through. Dashboards turn individual audits into a live picture for quality managers and leadership, ready for management review.

  • Findings by type, site and audit.
  • Open actions, who owns them and which are overdue.
  • Closed findings with evidence ready for an auditor.
  • Repeat findings that point to a weakness in the system.

Who Uses It

One record, four ways of using it

Quality managers

Set up audits and approval paths, track open findings across sites and prepare management review.

Auditors

Record findings and evidence on site, follow them through actions and check closures were verified.

Action owners

See assigned actions, update progress and attach proof of the fix instead of replying to email chains.

Leadership

Read results on a live dashboard and see which findings keep returning.

Training Workflows

Close competence gaps that audits uncover

Many nonconformities trace back to a training gap. SparkFlow lets you configure training workflows with owners and deadlines, so a finding that points to competence can raise a training action, be tracked and be closed on the same record.

  • Raise a training action from a finding or an audit.
  • Give it an owner and a deadline.
  • Route completion for approval.
  • Keep the proof with the finding that triggered it.

UAE and GCC Context

Quality audit requirements for UAE and GCC organisations

What you audit against depends on your sector, country, licence, customers and certifications. These are the situations GCC quality teams meet most often.

ISO 9001 certification

Certification depends on internal audits at planned intervals, management review and corrective action records. One audit process can also serve ISO 14001 and ISO 45001.

Customer and tender requirements

Large clients and tenders often ask suppliers and contractors to show how they audit and close findings. A traceable record answers that quickly.

Multi-site and multi-country teams

Teams with sites across the UAE, Saudi Arabia and the wider GCC need one place to see findings and overdue actions, not one spreadsheet per site.

What this means for your audit programme: keep a programme with defined scope and criteria, use competent and impartial auditors, report results to management, act on every nonconformity and keep the records. These expectations hold whichever framework applies to you. Requirements change, so confirm exact obligations with your regulator, certification body or adviser.
Buyer Guide

What to look for in quality audit software

Use this list when you compare tools. Good quality software makes recording a finding easy for the auditor and ignoring it hard for everyone else.

  • Configurable audit forms that match your standard or procedure.
  • Mobile capture of findings and photo evidence on site.
  • Findings linked to corrective actions with an owner and deadline.
  • Approval workflows for findings and closures.
  • Verification before closure, not just a status change.
  • Reports generated from records, not written by hand.
  • Live dashboards with a full history of who did what and when.
  • Links to HSE records, so audit evidence is not split across tools.
  • Honest scope: it should tell you plainly what it does not do.

Where SparkFlow does not fit: SparkFlow is not built for regulated pharmaceutical or medical-device quality systems. If you need controlled document management or product-level quality control, ask in a demo and we will say plainly whether it fits.

FAQ

Quality audit software FAQs

What is quality audit software?

Quality audit software runs internal and external quality audits as structured digital workflows. Auditors record findings and evidence against each audit question, every nonconformity is linked to a corrective action with an owner and a deadline, closures go through an approval path, and reports are generated from the records instead of written by hand.

What is a nonconformity in a quality audit?

A nonconformity is a failure to meet a requirement, whether that requirement comes from a standard such as ISO 9001, a customer contract, a legal duty or your own procedure. Many organisations grade them as major or minor and also record observations and opportunities for improvement. Definitions and thresholds depend on your procedure or certification body.

What is CAPA software?

CAPA software tracks corrective and preventive actions from the moment an issue is found to the moment the fix is verified. Each action has an owner, a deadline, evidence and a recorded closure, so recurring problems can be spotted and the cause dealt with rather than the symptom.

What is the difference between a correction, a corrective action and a preventive action?

A correction deals with the nonconformity itself, such as reworking a faulty output or replacing a missing record. A corrective action deals with the cause so the problem does not return. A preventive action deals with a potential problem before it happens. ISO 9001:2015 handles prevention through risk-based thinking rather than a separate preventive action clause, but many teams still track preventive actions.

What does ISO 9001 clause 10.2 require?

Clause 10.2 requires an organisation to react to a nonconformity, evaluate whether action is needed to eliminate its causes, carry out the action, review its effectiveness and update risks and the system where needed. It also requires documented information on the nature of the nonconformity, the actions taken and the results.

What does ISO 9001 require for internal audits?

Clause 9.2 requires internal audits at planned intervals to check whether the quality management system conforms to requirements and is effectively implemented. Audits follow a programme with defined criteria and scope, use objective and impartial auditors, report results to relevant management, take action without undue delay and keep records as evidence. ISO 19011 gives guidance on auditing management systems.

What is the difference between a quality audit, an HSE audit and an inspection?

A quality audit checks whether your quality management system works as intended against criteria such as ISO 9001. An HSE audit does the same for health, safety and environment systems. An inspection checks a place, asset or output at a point in time against a checklist. Inspections are one source of evidence for an audit, but they are different activities. SparkFlow records all three on one platform.

How does a quality finding become a corrective action in SparkFlow?

Raise an action directly from the finding and assign an owner and a deadline. The action is tracked to closure, and the finding, evidence, approval and closure stay linked on one record, so you can show an auditor how each issue was resolved.

How do you verify that a corrective action worked?

Check after a suitable period that the fix is in place and that the problem has not returned, for example by sampling records or re-auditing the area. Route the closure through an approval path so a named person signs it off. Closing an action without verification is a common reason findings repeat.

Can SparkFlow be used for ISO 9001 internal audits?

Yes, as a way to run and record them. Audit forms are configurable, so you can build checklists around ISO 9001 clauses, your own procedures and customer requirements. SparkFlow holds the findings, evidence, actions and approvals. It does not replace competent auditors or guarantee certification, and you should confirm your audit criteria with your certification body.

Can quality audit forms be customised?

Yes. Forms, routing and approval paths in SparkFlow are configurable, so each audit type can follow your own checklist, hierarchy and procedure, including your own finding categories.

Can quality audits and inspections be completed on a phone or tablet?

Yes. Auditors and inspectors can record findings, observations and photo evidence on site from web and mobile instead of writing notes on paper and typing them up later.

Does SparkFlow support training workflows?

Yes. You can configure training workflows with owners and deadlines, for example to assign and track training that follows an audit finding or a corrective action. SparkFlow is not a learning management system. For course delivery and learner records, SparkSupport's SmartLearn LMS is the dedicated product.

What is a supplier quality audit?

A supplier quality audit, also called a second-party audit, checks whether a supplier or contractor meets your quality requirements. It is carried out by a customer on its supplier, or by your team on the vendors you rely on. Findings are graded and followed up with corrective actions, in the same way as an internal audit.

Can SparkFlow be used for supplier audits?

Yes. Supplier audits can be run from configurable audit forms on web and mobile, with findings, photo evidence, corrective actions, owners, deadlines and approvals kept on one record. Actions are assigned to named owners within your own hierarchy. Ask in a demo how you would like to involve supplier contacts.

How does quality connect to HSE in SparkFlow?

Quality, safety and environment workflows run on one platform, so a finding in one area can link to an action in another. A quality audit finding can raise an action that sits beside incident, inspection and risk actions, and dashboards show all of them together.

Is SparkFlow suitable for regulated pharmaceutical or medical-device quality systems?

No. SparkFlow is built for audits, inspections, corrective actions and approvals in industrial and commercial organisations. It is not designed for regulated pharmaceutical or medical-device quality systems that need controls such as electronic-signature validation.

Does SparkFlow replace a full quality management system?

SparkFlow covers the audit, inspection, corrective action, approval and training workflows of a quality system. If you also need controlled document management or product-level quality control, ask about them in a demo so we can say plainly whether SparkFlow fits.

Is SparkFlow suitable for UAE and wider GCC organisations?

Yes. SparkFlow is built in Dubai, serves teams across the UAE and the wider GCC, and its forms and approval paths are configurable to your sector, sites and procedures. Requirements differ by country, emirate, free zone and customer, so confirm what applies to you with your regulator, certification body or adviser.
